1. Who this agreement is between
Us is PalmRoot Tech SL Limited, a company registered in Sierra Leone, which builds and operates EduSalone.
You is whoever is reading this — either a school that has taken EduSalone for its staff and pupils, or an individual using the app as a head, teacher, bursar, secretary, parent or pupil. Where a rule applies only to the school, it says so.
By creating an account or using EduSalone you accept these terms. If you do not accept them, do not use the app.
2. What EduSalone is
EduSalone is a school management app: enrolment, attendance, marks and report cards, fees and receipts, ID cards, messaging between people at the same school, and a permanent record archive. Each school's data is kept separate from every other school's.
What it is not EduSalone is a record-keeping tool. It does not award qualifications, it does not certify results, and it has no connection to the West African Examinations Council. A BECE or WASSCE certificate comes from WAEC, not from us. The marks in EduSalone are the school's own internal records.
3. Who may have an account
- You must be 13 or over to hold your own account. Primary pupils are held by a parent or guardian account instead — the app does not create logins for them.
- One account per person. Do not create an account for somebody else, or in somebody else's name.
- Staff accounts are only for people the school has actually appointed.
- You are responsible for what happens under your account. Keep your password to yourself. If you think someone else has it, change it and tell your head of school.
4. Getting approved
A staff account does not work the moment it is created. It is switched off until a person releases it: teachers, bursars and secretaries by their head of school, and heads of school by PalmRoot Tech. We do this so a school cannot quietly gain a second principal, and so nobody who simply obtained a code can walk into a school's records.
We may refuse to release, or later switch off, any account we reasonably believe was created by somebody who is not entitled to it.
5. Your school's codes
Each school has three separate codes, and they are not interchangeable.
- The School Access Code — six digits, for parents and pupils.
- The Staff Invitation Code — for people being hired. It must never be given to a parent, posted in a group, or printed on anything a pupil sees. The head of school can change it at any time and should do so whenever a member of staff leaves.
- A Parent Access Code — one per pupil, for that pupil's family only.
Sharing a code with somebody not entitled to it is a breach of these terms, and the school is responsible for who it hands its codes to.
6. What the school is responsible for
- That the register is right — the pupils on it, their classes, their marks, their fees. We store what the school enters and we do not check it.
- That it is entitled to hold and enter its pupils' information, and has told parents it is doing so, in line with its own enrolment policy and any law that applies to it.
- That it has the right to take and upload a photograph of a pupil for an ID card.
- If it scans cards at its gate: that it has told parents it is doing so, before it starts. We give the school the tool; telling its own families is the school's job and nobody else can do it for them.
- Releasing new staff promptly, and switching off staff who have left.
- Keeping its codes safe.
- What it publishes to parents and pupils — a report card is published when the head approves it.
6a. Scanning cards at the gate
A school may record arrival and departure by holding a pupil's ID card up to a phone, or to a scanning box we supply. It is optional. A school that does not want it simply does not use it, and everything else works exactly the same.
- The first scan of the day marks the pupil present, or late if it is after the time the school set. The school sets that time and the grace period itself.
- A pupil who does not scan is never marked absent by the app. The register stays the teacher's, and a teacher's own entry always overrides a scan.
- Reading a code saves no photograph. No face is measured. There is no biometric data anywhere in EduSalone.
- A scanning box holds no pupil list — it reads a code, sends it, and answers with a light and a sound. A stolen box carries no information about any child.
- A card belonging to another school is refused, and the app tells the person at the gate nothing at all about who that card belongs to.
Where we sell a school a scanning box, printer or other equipment, that is a separate sale with its own invoice. Such equipment is sold as it is, carries whatever warranty its maker gives, and a fault in it does not affect the school's EduSalone subscription. EduSalone never needs any equipment to work. If a box fails, the school carries on with a phone, or by typing the code printed on the card.
7. What we are responsible for
- Running the service with reasonable skill and care, and keeping it available as much as we reasonably can. We do not promise it will never be unavailable.
- Answering support within one working day, Monday to Friday, 8am–6pm GMT. A school that cannot work is treated as urgent whenever it reaches us.
- Protecting your data as described in our Privacy Policy.
- Telling you before we make a material change to the service or to these terms.
We improve the app continuously, so screens and features change. We will not remove something a school depends on without notice.
8. How you must not use it
You must not:
- Try to reach another school's data, or any record you have not been given access to — including by modifying the app, using developer tools, or any automated means
- Share, sell or publish another person's information taken from EduSalone
- Use EduChat to bully, threaten, harass or send anything indecent — most especially to or about a child
- Upload anything unlawful, or anything you do not have the right to upload
- Use Ask AI automatically or in bulk, or in any way designed to run up cost
- Attempt to disrupt, overload or reverse-engineer the service
- Impersonate a member of staff, a parent or a pupil
Conduct towards children Anything that puts a child at risk ends the account immediately, without notice, and we will report it to the school and, where appropriate, to the authorities.
9. Things you upload
What you upload stays yours — your lesson notes, your documents, your photographs, your messages. You give us only the permission we need to store it, back it up and deliver it to the people you sent it to.
You confirm you have the right to upload it. That matters most for photographs of pupils, which are the school's responsibility under section 6.
We do not read your messages except where we have to in order to fix a fault you have reported to us, or where we are compelled by law. We do not use anything you upload to train artificial intelligence models.
10. Ask AI
Ask AI is a study aid. It is useful and it is also sometimes wrong. Treat it the way you would treat a confident classmate, not the way you would treat a textbook.
- Its answers are produced by a third party and are not checked by us or by any teacher
- It is not a substitute for your teacher, and it does not know your syllabus or your school
- Do not submit its answer as your own work. Your school's rules on cheating apply to it exactly as they apply to copying from anyone else
- What you type is sent to Anthropic to produce the answer — see section 4 of the Privacy Policy
A school that would rather its pupils did not use Ask AI can write to us and we will switch it off for that school.
11. Marks, report cards and results
A teacher enters marks; the head of school approves them; only then does a report card become available to a family. Both steps are the school's decisions, not ours.
We are not responsible for a mark being wrong, a position in class being disputed, or a report card being published early or late. Those are matters for the school. If you believe a mark is wrong, raise it with the school — a teacher can correct it and resubmit, and a head can return a whole batch for correction.
12. Money
EduSalone does not take payments. Fees are paid to your school in the way your school arranges — cash, bank or mobile money. The bursar then records that payment in EduSalone and issues a receipt. No money moves through this app, and we never see or hold your card or bank details.
What a school pays us for EduSalone is whatever we have agreed with that school in writing. If a school stops paying, we will tell it before suspending anything, and it will have the chance to export its data.
13. Suspending or ending an account
You can leave whenever you like. Delete your account in the app — the instructions are at /delete-account. Your login is destroyed. The school keeps its register, for the reasons set out in the Privacy Policy.
Your school can switch off a staff account when someone leaves. The person is told the account is switched off and the reason given.
We can suspend or end an account that breaches these terms. Except where a child is at risk, or where we are compelled to act immediately, we will tell you first and give you a chance to put it right.
If you are the only head of school, the app will stop you deleting your own account. A school must never be left with pupils, fees and staff and nobody able to administer any of it. Email us and we will arrange for another head to be appointed first.
14. If something goes wrong
We will do our best to keep EduSalone running and your data safe, but we cannot promise perfection, and these terms limit what we owe you if something goes wrong.
- We are not liable for lost profit, lost business or lost opportunity.
- We are not liable for a school's own decisions — what it enters, what it publishes, who it gives its codes to, or how it uses the records.
- Where we are liable, our total liability to a school is limited to what that school has paid us in the 12 months before the problem arose.
- Nothing here excludes liability that cannot lawfully be excluded, including for death or personal injury caused by our negligence, or for fraud.
Keep your own copies of anything you cannot afford to lose. Report cards, receipts and pupil records can all be printed or saved as PDF from inside the app.
15. Changes to these terms
We will publish any new version here with a new version number and date, and tell users by email or in the app at least 30 days before a material change takes effect. If you do not accept a change, you may delete your account, and a school may end its agreement with us.
16. Which law applies
These terms are governed by the laws of Sierra Leone. Disputes are for the courts of Sierra Leone. If you are in the European Union, consumer rights that apply to you in your own country are not taken away by this.
Please talk to us before going to a court. Almost everything is quicker to fix by email.
